Know where the cash went

Cash that goes missing at a counter usually goes a little at a time: a bill cancelled after the customer paid, a discount nobody approved, a KOT cancelled after the food went out. Tapvixo puts each of these on record with who did it, and the day-end count is blind, so a shortage shows up as a number.

At day end

  • A blind count: counter staff enter the cash without seeing what the drawer should hold. Managers and owners see the expected figure
  • The shortage or excess for every close, at every outlet
  • A Z-report, printed once the day is counted
  • A business day that runs past midnight closes as one day
  • Cash paid in, paid out and taken to the bank, each with a reason, and expenses by category

During the day

  • Cancelling a bill needs a reason, and keeps who cancelled it, when, and who approved it
  • Taking back a KOT needs a reason, and keeps who did it
  • Hand discounts: by default only the owner and a branch admin can give one, and anyone else needs an approver's PIN at the till. You can also set a maximum discount for everyone
  • Reprinted bills are marked DUPLICATE
  • Every action has a permission for each role, and staff can be limited to their own outlets

The till controls report

Reports → Checks lists cancelled bills, refunds, hand discounts, reprints, re-counts, discarded sales and cancelled KOTs, with a tally for each person, on every plan.

One drawer, one person

In the usual once-a-day close, a shortage belongs to the outlet. When staff share a drawer in turns, Tapvixo can keep a session for each person with a handover between them: a small gap needs a reason and a larger one a manager's PIN, so a shortage belongs to someone.

What it doesn't do

  • The discount limit is one percentage for everyone, not a limit for each cashier
  • A cash drawer opened without a sale isn't recorded
  • The day-end count and close need a connection
